As stated on the AGM notice please find below the addtions/updates to the Club rules.
Subscriptions and Finance
Reasons: This decision was made last year to be added to the membership criteria, therefore needs adding to the rules
14. "All expenses must be presented to the Treasurer no later than 6 months after the end of the financial year (31st December) in which they were incurred."
Reasons: To ensure that our Accounts remain audited and correct when signed off at AGM’s. It is also to ensure that we as a club are helping our Treasurer maintains accurate accounts.
17. (Make changes to the list of named officers of committee to the current list voted in at the AGM as these have since altered.)
Reasons: Ensure the rules reflect the correct Officers in committee.
24. "Past presidents and vice presidents are allowed to attend committee meetings but are not permitted to vote unless they hold a post on the committee. Club members are allowed to attend committee by request to the General Secretary but are not able to vote."
Reasons: There has been continual confusion over who is able to attend committee and vote. By stating a rule which clearly lays out the policy there can no longer be any confusion.
22. "Members of the Executive Committee must attend at least two -thirds of its meetings (unless prevented by illness or other unavoidable cause), failing which they will be ineligible for re -election."
Reasons: This rule has not recently been implemented and since communication through other sources such as email means that Committee members can stay up to date without attending every meeting this is no longer required
10 "Any member, who shall knowingly conduct him/herself in a manner which, in the opinion of the Executive Committee, may bring discredit to athletics, may be suspended by the Committee and may be reported to UKA. Should any member's conduct render it necessary, he/she may be expelled from the Club by the Executive Committee on the recommendation of the panel that heard the disciplinary interview."
Original wording …
Any member, who shall knowingly conduct him/herself in a manner which, in the opinion of the Executive Committee, may bring discredit to athletics, may be suspended by the Committee and may be reported to UKA. Should any member's conduct render it necessary, he/she may be expelled from the Club by a majority vote of not less than 3/4 of the members present at a General Meeting.
Reasons: We do not feel that sensitive information should be aired in public such as the AGM and therefore think it is better practice to allow our welfare officers to conduct the necessary procedures privately.
